Internship Policies [AT] IIT Ropar

Internship Policy

This internship policy will be applicable to all students of IIT Ropar registered for Summer internships and is to be followed during the entire duration of the internship season. The rules mentioned in this policy document are not meant to be comprehensive; in case of any ambiguity students must contact the T&P Cell for clarification. In all cases the T&P Advisory Committee’s decision is binding and will be enforced. All the internship and placement-related rules to be followed by students are based on the following principle: Students must conduct themselves in a professional manner befitting the Institute’s reputation so that we may continue to maintain and build good relations with companies for the long-term mutual benefit of all parties involved: students, companies and IIT Ropar. Hence, any action by a student that violates the above principle will be treated as a violation of T&P Cell policy and will result in disciplinary action being taken against the student. The specific disciplinary action for any offense will be determined on a case-to-case basis after a meeting of the T&P Advisory Committee. The minimum punishment for all offenses is to bar the student from the next placement opportunity for which he/she is eligible.

Eligibility Criteria

Any student of IIT Ropar required to, or interested in, going through industrial experience (internship) during the Summer of 2014 is eligible to register for internships with the T&P Cell.

Guidelines for the Policy

1. A policy of “One internship offer, One student, First Instance” will be followed, similar to the policy for placement.

2. Students will have to register with the T&P Cell if they wish to avail of the services of the Cell.

3. A student can apply for any number of internship opportunities as long as he/she has not received an offer, irrespective of whether the offer was obtained via the T&P Cell or through the student’s own contacts. A student will be considered as having an internship offer once he/she appears in the selection list of a company or he/she receives an official notification from a company.

4. If any student is applying to a particular company that means that he/she is interested in interning with the company and if selected he/she must accept or decline the company’s internship offer within a time of 14 days, unless the company has specified a different time limit. It is not fair to make the company wait for months and then declare that you would like to go somewhere else.

5. A student may not apply for any further internship opportunities after receiving an offer. The 14-day time period for accepting/declining an offer is only provided in case a student has already applied for multiple internship opportunities and he/she is waiting to receive the result from other companies that he/she has applied to. For example, if you have applied for internships at companies A, B and C and you receive an offer from A today then you have 14 days of time (or less or more, depending on the time limit specified in A’s offer letter) to accept/decline A’s offer. During this time you may remind B and C that you need to receive their result soon or else you will not be available; however, you may not apply to any other companies for further internship offers.

6. Once a student has accepted an internship offer from an organization he/she must honour the commitment and actually spend the required amount of time as an intern at that organization

7. If a student applies to a company then he/she will have to go through the entire selection process of the company. Relaxations for this rule may only be made by the T&P Advisory Committee on a case-to-case basis under exceptional circumstances, for example if a company conducts its interviews several weeks after the written test and the internship schedule has changed during that time.

8. If a student is not present on the day of the selection procedure for a company in which he/she has been shortlisted then the student will be barred by the T&P Cell for at least the next campus placement opportunity.

9. A student is not allowed to meet or contact the members of the visiting team without the prior permission of the T&P Cell, even if the student has been shortlisted by the Company.

10. If any misconduct by a student during the selection process is reported by a company, then the student will be barred by the T&P Cell for at least the next campus placement opportunity.

11. If a company gives a range of internship stipend (and benefits) in their document and at the time of the selection by the company the stipend or benefits are less than what were announced the student may reject the offer or accept the offer and it is entirely up to the student (students are requested to inform the T&P Cell about this anomaly immediately).

12. Students will have to dress formally during the selection process. This is irrespective of the dress code followed by the company. They must carry their identity cards and produce the same when demanded by the visiting team or the Cell staff or their Representative.

13. The T&P Cell strongly discourages students from going for off-campus placements in the companies that the Cell is in talks with for campus selection for internships as this affects the Company-Institute relations negatively. Students are requested to forward any contacts that they have in various companies so that the T&P Cell can invite the companies formally to the Institute.

14. During the period when companies visit the campus for placement or for selecting interns ALL the students of the Institute are requested to be smartly turned out and present a good picture of themselves to the visiting companies.
